SaaS Spend per Employee Calculator

Divide what your company pays for software by the number of people who work there. Use your accounting total for the last 12 months, or a monthly figure. Nothing you type leaves your browser.

How it's calculated

Yearly spend = spend × 12 if you entered a monthly figure
Per employee per year = yearly spend ÷ employees
Per employee per month = per employee per year ÷ 12
Cost per app = yearly spend ÷ apps
Next year = yearly spend × (1 + rise ÷ 100)

In the example, $300,000 a year across 50 employees is $6,000.00 per person, or $500.00 a month. With 40 apps the average app costs $7,500.00 a year, and a 10% rise takes the bill to $330,000.00.

Published figures, and why they disagree

Per-employee figures are widely quoted without their definitions. These are the ones we read on the publisher's own page in November 2026. Both publishers sell software-buying or management services and measure their own customers, so treat the numbers as context rather than a target.

Three things make these numbers hard to compare with yours, or with each other:

We left out older and secondhand figures, including several attributed to analyst firms, because we couldn't read them on the original publisher's page. The same company's figure can also jump between editions when its method changes, so we don't quote one edition against another.

Making the number useful

  1. Measure it the same way every quarter and watch the trend.
  2. When it rises faster than headcount, look for duplicate tools and idle seats; the unused license calculator prices them.
  3. Check vendor prices before renewals: our collaboration software prices and AI subscription prices are read on each vendor's site.

Questions and answers

What is a normal SaaS spend per employee?

There is no single normal figure. Zylo reports a median of $9,455 per employee (2026) and Vertice about $9,300 (H2 2026), but both describe their own customers, which are mostly mid-size and large companies, and neither defines exactly which software or which employees are counted. A 15-person agency and a 5,000-person bank can both be well run at very different numbers. Track your own figure over time instead.

Which costs should I include?

Everything billed as software: per-seat subscriptions, usage-based tools, annual licenses (divide by the years they cover), and software paid on company cards or expensed by staff. Leave out hardware, cloud hosting and contractors unless you want to compare with a source that includes them. Whatever you choose, use the same rule every time you measure.

Which headcount should I divide by?

Use all employees on payroll, full-time equivalent if you have many part-time staff. Some vendors divide by licensed users instead, which gives a higher figure. Say which one you used when you share the number.

How much should I budget for price rises?

Use the increases your own vendors have announced for your renewals. For context, Vertice measured SaaS price inflation at 16.4% in its H2 2026 index, based on the contracts it negotiates. Your rise depends on which tools you use and when they renew.
