Microsoft's July 2026 price change
Microsoft raised the list prices of its business suites on Jul 1, 2026, announced on Dec 4, 2025 in its Microsoft 365 blog. Microsoft's partner notice says the new prices "will apply to new and renewing customers starting July 1, 2026", so existing customers move to them at their next renewal. Prices per user per month, paid yearly:

Keep the stack lean
Overlap is the usual source of waste: Microsoft 365 already includes Teams and OneDrive, Google Workspace includes Meet and Drive, and Notion, Slack and Zoom each overlap with parts of both. Before renewing, list every tool by job (chat, calls, docs, storage) and look for two tools doing one job.

Questions and answers
How much does collaboration software cost per employee?
It depends on the stack. Entry plans in the table run from $7 to $18 per user per month on list price; a typical small team with an office suite, chat, video calls and a docs tool can pay several of these per person. Add your own tools in the SaaS stack calculator to get your number.
Is yearly billing worth it for team software?
It is usually cheaper per seat (Notion Plus is $10 a seat yearly vs $12 monthly, Zoom Pro $14.16 vs $16.99), but you commit to the seat count for the year. If your headcount changes a lot, monthly billing can cost less overall.
Do these prices include tax?
No. They are US list prices before tax and before any discount you negotiate. Larger teams can often negotiate, especially at renewal.
